What is Peppol? The digital revolution in invoicing
What exactly is Peppol?
Peppol, short for Pan-European Public Procurement On-Line, is an international standardised network for the secure electronic exchange of documents between companies, institutions and public authorities. It is most commonly used for electronic invoices, but it also supports other types of business documents.
Simply put, Peppol works like digital mail for invoices. Instead of sending PDF attachments by email or printing paper documents, invoices are transferred automatically from system to system. For example, from the supplier’s ERP system directly into the customer’s ERP system.
This means users no longer need to manually copy invoice data, check attachments or deal with different document formats from different business partners. The whole process becomes faster, more accurate and more reliable.
A major advantage is that all participants in the network use the same technical standards. Each company communicates through its provider, known as an Access Point, and all Access Points in the network can communicate with each other. This principle is known as the 4-corner model.
When and why was Peppol created?
Peppol was launched in 2008 as an initiative of the European Commission. The main goal was to simplify electronic public procurement and remove complicated barriers between European Union countries.
In the past, almost every country had its own rules, invoice formats and technical solutions. For companies, this meant complex integrations, high costs and difficult connections with foreign business partners.
The European Commission therefore introduced the idea of a common network and shared standards that could work across Europe.
Over time, Peppol has expanded beyond the European Union and is now one of the most important electronic invoicing networks in the world. It is actively used in countries such as:
- Norway
- Netherlands
- Finland
- Belgium
- Poland
- Australia
- Singapore
More countries are joining gradually, and Slovakia is among the countries preparing to implement Peppol as a key part of future digital invoicing.
Four key benefits of Peppol
1. Standardisation
Before Peppol, each company often had its own invoice format. Integrations were expensive, and every new connection required a separate project.
Peppol solves this with a common standard. Invoices are sent in XML format according to the EN 16931 standard, most often as Peppol BIS documents. This means companies do not need to adapt individually to every business partner.
You connect once and can then communicate with the entire network.
2. Automation
One of the biggest advantages of Peppol is automated document processing.
An invoice no longer needs to be printed, sent by email, opened by an accountant and manually entered into the system. The data is transferred automatically and can be processed immediately by the receiving system.
This significantly reduces manual work, speeds up invoice processing and minimises errors caused by human input.
Modern solutions can also automatically:
- validate documents
- check mandatory data
- route invoices
- generate status messages
- archive documents
- provide an audit trail
3. Security and reliability
A regular email does not guarantee delivery or document integrity. An invoice can get lost, end up in spam or be changed along the way.
Peppol works differently. The network uses secure certified connections, and all documents are validated before delivery.
Every step of the communication is recorded. It is possible to trace:
- who sent the document
- who received it
- when it was received
- what status it has
This is especially important for audits, compliance and future legal requirements.
4. International interoperability
One of Peppol’s greatest strengths is international compatibility.
A company does not need to connect to every business partner separately. One connection to the network is enough to communicate with all organisations that use Peppol.
This makes international business much easier and allows companies to scale without complicated technical integrations.
For exporting companies or businesses operating in several countries, this is a significant advantage.
Why is Peppol already important for companies today?
Peppol is no longer just a new technology trend. In many countries, it is becoming the foundation for legislation and mandatory electronic invoicing.
Slovakia is also preparing for mandatory e-invoicing, currently expected to start from 1 January 2027. Peppol is expected to be an important part of the national solution and the Digital Postman model.
This means companies will need to:
- generate the correct XML formats
- communicate through certified providers
- ensure data validation
- prepare their systems for automated document exchange
Companies that start preparing earlier will have a clear advantage. They can avoid last-minute stress before the legal change and already improve their internal processes today.
We therefore recommend that companies:
- check the capabilities of their ERP system
- find out which export formats it supports
- analyse integration options
- start looking for an e-invoicing partner in good time
Summary
Peppol is a modern infrastructure for the electronic exchange of documents. It brings standardisation, automation, security and easier international communication.
For companies, it is no longer only a technology trend. It is becoming the foundation of future financial processes and the digital transformation of accounting across Europe.
Companies that prepare in time will gain more stable processes, better data quality and an easier transition to new legal requirements.
